Last updated October 23, 2026

For sellers. The shop that prints for you can also store your own products and ship your orders from them. You ask once. When the shop approves you, it gives you space, and you send whatever fits.

The Inventory menu shows when the shop runs a warehouse program. Keeping your shops in step with your stock is under Settings → Inventory → Stock sync.

1. Ask to store inventory

  1. Open Inventory → My stock.
  2. Under Store your inventory with and the shop's name, tell them what you plan to send in What will you send? (optional).
  3. Click Ask to store inventory with the shop.

The page shows Request sent. until the shop approves you. Nothing else needs setting up. You do not enroll products one by one.

You see What it means
Request sent. The shop has not answered yet
Your space with a bin count You are approved. You can send
The shop has paused new shipments Your stock there is safe. You cannot send new shipments until they resume
The shop is not taking new stock from you Your request was declined. Ask again sends it again

2. Send inventory

Open Inventory → Send inventory. There are four steps: Products, Boxes, Arrival, Review.

Products

  1. Search by Product name, SKU, or barcode, or scan a barcode. Each result says Stored with the shop or Not sent before.
  2. Click Add, then enter how many of each size and color.
  3. The first time you send a product, a box opens: First time sending this. It asks only what the shop's rules need:
  • Size of one unit and Weight. They show (optional) unless the shop plans space by volume.
  • Is this any of these? Tick any that apply, for example Fragile or Liquids. You only see the kinds the shop checks.
  • A barcode, when the shop requires one: Type or scan the barcode.
  1. Click Continue. It stays off until every required answer is filled in.

A product the shop wants to look at shows The warehouse checks this product when the shipment comes in with the reason. You can still send it. The shop approves or declines it when the boxes arrive.

If you see Connect your shop in Stores to pick products you have not sent before., connect your shop first. Products you already store still show.

Boxes

Enter How many boxes, then choose One product per box or Mixed boxes. One product per box is the quickest to receive. You get one label for each box.

Arrival

Enter Expected arrival. It is required. Carrier and Tracking are optional; you can add them later on the shipment.

Review

Check the totals: Products, Units, Boxes, Arrives. The bar at the bottom shows your space after this shipment, for example After this: 31 of 40 bins.

Message What to do
This needs N more bins than you have. You cannot submit. Click Ask for space, or send fewer units
The warehouse is nearly full, so the shop confirms space before you ship You can submit. The button reads Send for approval
The shop checks a product when the shipment comes in Nothing to do. It is decided at the dock
Add the date you expect it to arrive. Go back to Arrival

Click Create shipment, or Send for approval when the warehouse is nearly full.

3. Print the box labels

The next page says Shipment created. Click Print label (or Print with the number of labels) and stick one on the outside of each box. Each label shows Riverr inbound, the shipment number, a barcode the dock scans, and Carton 1 of 3 and so on.

From this moment the units show as On the way on My stock.

4. Follow it on Shipments

Inventory → Shipments lists every shipment with its status. Filter by All, Waiting for the shop, Expected, Arrived, Receiving, Received, or Cancelled.

Status Meaning
Waiting for the shop The shop needs to confirm space. Hold the boxes
Expected Ship it. The shop is ready for it
Arrived, Receiving The boxes are at the dock and being counted
Received Counted in. The units are on hand
Cancelled Cancelled by you, or declined by the shop with a reason

Click a shipment to open it:

  • What is in it: Sent and Counted for each line, and the Gap (for example 2 short). A product the shop declined shows Not accepted with the reason, and is taken off the shipment. A note from the shop about a gap shows next to it.
  • Reprint labels prints the box labels again.
  • Shipping details: change Carrier and Tracking until the shipment is received, and Expected arrival while it is Expected or Waiting for the shop. Click Save.
  • Cancel shipment is there while it is Expected or Waiting for the shop.

The shop's count is the count. If they count fewer than you sent, the gap stays on the shipment so you can see it.

5. See your stock

Inventory → My stock:

Column What it means
On hand Your units counted in at the warehouse
On the way Units on shipments that have not been counted yet
Held for orders Units your open orders already count on
Available What your shops can still sell
Lasts How long Available lasts at your recent sales, for example About 9 days. No recent sales when nothing sold lately

Status reads In stock, On the way, Nothing on hand, Checked on its first shipment, or Not accepted (with the reason).

Stop storing removes a product from your list. It shows only when nothing is on hand or on the way.

Products the shop prints and keeps for you are under Products the shop prints and keeps for you, the link under the table.

Running low

When an item will run out within 2 weeks at your recent sales, it shows on the Running low card at the top of My stock, with how long it lasts and how many to send.

  1. Click Send these.
  2. Send inventory opens with those items filled in: about 30 days of sales, less what is already on the way. Change any number, add other products, and continue as usual.

Riverr also emails you once a day when something is running low, with the same list and a link that fills in the amounts. To stop the email, click Turn off next to Running low emails at the bottom of My stock. Turn on brings it back.

The shop sees the same list on 3PL → Sellers, under Sellers running low.

Ask for more space

Your space is counted in bins: what is on the shelf, what is on the way, and the shipment you are making. The top of My stock shows it, for example 28 of 40 bins.

  1. Click Ask for more space.
  2. Enter Bins you need in total and, if you like, Why.
  3. Click Send request.

The page shows Asked the shop for that many bins until they answer.
