Plan what to keep in stock
Last updated October 23, 2026
Riverr works out how much of each blank and finished good to keep on the shelf, and what is running low, from how fast you actually use it and how long your supplier takes. You stay in charge: every number is a suggestion until you apply it.
Use this once you have a few weeks of orders in Riverr. Items with less than two weeks of history show Not enough history yet.
Where
- Inventory → Stock → Blanks and House retail: the Lasts and Suggested columns, Apply suggestions, Not moving, and Running low.
- Inventory → Purchase orders → New purchase order: Add items running low fills in what to order from a supplier.
- Settings → Inventory → Stock planning: how much buffer to keep, how often you buy, and whether Min and Target update on their own.
What the columns mean
| Column | What it means |
|---|---|
| Lasts | How long Available lasts at the rate you have used it lately, for example about 9 days. Amber when it runs out before a new order could arrive |
| Suggested | The Min and Target Riverr would set, for example Suggested 30 / 51, and whether to Keep in stock or Order per job |
| Why | Shown under a suggestion when something you already know about raises it, for example Why: Store closes Nov 3, about 40 more expected |
Under Lasts you may also see:
- Fast, Steady, or Slow. Fast items are the few that make up most of your use (about 80 percent of the units over the last 90 days). Steady covers the next 15 percent, Slow the rest. Fast items get a bigger buffer.
- Seasonal: busier next month or Seasonal: quieter next month, when last year shows a change for the coming month.
- Not moving: on hand, with no use in the last 90 days.
Hover Lasts or Suggested to see the use per week and how long the supplier takes.
How the suggestion is worked out
- Use. Riverr counts the units that left stock for production or at the register over the last 30 and 90 days. Units given back when a line is unbatched or refunded are taken off. When use is rising, the last 30 days count; otherwise the 90 day rate does.
- Lead time. How long the supplier takes, from the purchase orders you have received (sent to received). With fewer than three for an item, Riverr uses that supplier's other orders, a lead time you set for the supplier, or a default.
- Min covers the use while a new order is on its way, plus a buffer for busy days. Target adds the use for the days between your orders.
- Order per job. An item you use less than once a week that arrives in a few days is cheaper to buy for each job. Its suggestion is Order per job, with Min and Target of 0.
Lean, Normal, Safe
The buffer comes from How much buffer to keep in Stock planning settings:
| Setting | What it does |
|---|---|
| Lean | Smallest buffer. Less money on the shelf, more chance of running out |
| Normal | A balanced buffer for most shops |
| Safe | Biggest buffer. Runs out least, ties up the most stock |
Fast items use the next level up: Lean becomes Normal, Normal becomes Safe.
How often you buy
Days between orders is your review period. Target covers this many days of use on top of Min. If you order every two weeks, leave it at 14.
Demand you already know about
Suggestions look at what is coming, not only at the past:
- Orders due soon. Open orders with a ship by date inside the lead time and review period.
- Stock orders not made yet.
- Stores with a close date. For a store with a close date in its campaign settings, Riverr takes what it has sold so far, divides by the days it has been open, and multiplies by the days left.
Riverr uses whichever is bigger over the lead time and review period: your usual use, or the demand it knows about. Open orders and stock orders already count in Reserved, so they are never counted twice. A store that will sell more than usual before it closes raises Min and Target by the difference. The Why line says what raised it.
Seasons
With a year of history, Riverr compares the next 30 days last year with the 30 days before that. If last year got busier, this year's rate is raised by the same ratio, up to three times. If it got quieter, the rate comes down, to no less than half.
Apply the suggestions
- On Inventory → Stock → Blanks, find a row where Suggested differs from your Min and Target.
- Click Apply on the row, or Apply suggestions at the top to review several at once.
- In Apply suggestions, untick anything you want to keep as it is and click Apply.
Min and Target are saved the same way as when you set them by hand. Rows already in use show In use.
Keep Min and Target updated automatically
Turn on Keep Min and Target updated automatically in Stock planning settings to apply every suggestion once a day. It is off until you turn it on. Riverr never creates a purchase order on its own from a suggestion; ordering stays with auto ordering and the purchase orders you create.
Keep in stock or order per job
| Keep in stock | Order per job | |
|---|---|---|
| Min and Target | Above 0 | 0 |
| When you buy | When the item drops below Min | When an order needs it |
| Best for | Items you use every week | Slow items your supplier delivers fast |
Running low
Click Running low above the Stock table to see every item below its Min, or that will run out before a new order would arrive, grouped by supplier.
Suppliers on auto ordering
When auto ordering restocks a supplier, its group says Auto ordering restocks these and has nothing to click. Auto ordering already brings each item back up to Target on its own schedule, so keeping Min and Target right is all you need to do. Ordering these by hand as well would buy them twice.
Everyone else
- Check each quantity. It brings the item back up to Target, rounded up to the supplier's packs. Type over any number, or click the cross to leave an item off.
- Watch the free freight bar for suppliers that have one.
- Click Create purchase order on the supplier. The New purchase order screen opens with those items filled in. Pick the shipping address, review, and send it as usual.
You can also start from the purchase order itself: on New purchase order, open Add items running low on the Products step, then click Add to purchase order on a supplier.
Each row can show its Why line and Fast or Seasonal labels.
Move stock instead of buying
If your shop keeps blank stock by location, the list follows the location you are viewing. When another location has more than its Target, the row says, for example, Move 40 from Back room instead, and the buy quantity goes down by 40.
- Click Move stock on the row.
- From, To, and How many are filled in. Change them if you like.
- Click Move. Only stock above the other location's Target that is not held for its orders is offered.
Not moving
Items with stock on hand and no use in 90 days tie up money. When you have some, Not moving (N) appears above the Stock table.
- Click Not moving. The summary reads, for example, 3 items, $420.00 tied up, no use in 90 days, using the last price you paid.
- For each item choose:
- Stop keeping in stock sets Min and Target to 0, so Riverr stops asking you to reorder it.
- Move stock sends it to a location that uses it (shops that keep stock by location).
- Click Show all stock to go back.
Items you started tracking less than 90 days ago are not counted as not moving.
The daily alert
Once a day Riverr checks for items that will run out before a new order would arrive. If there are any, you get one alert and one email to your shop's notification addresses: These will run out before a new order arrives, with each item, how long it lasts, and how long an order takes. Open Running low on the Stock page to order them.
Sellers running low
For stock you hold for sellers:
- The seller sees Lasts for each product on Inventory → My stock, and a Running low card for items that run out within 2 weeks. Send these opens Send inventory with about 30 days of sales filled in, less what is already on the way. See Send inventory to the warehouse.
- Sellers get a daily email with the same list and link. They can turn it off on My stock.
- On 3PL → Sellers, Sellers running low lists each seller with items running low, for example 3 items running low, soonest out in 4 days.
