Import your current inventory
Last updated October 23, 2026
Bring the stock you already have into Riverr from a spreadsheet. Use the file you already keep: no template, no column renaming. Riverr matches each row to your blanks, finished goods, or stock you hold for sellers, and you check anything unclear before it is saved.
Use this when you start on Riverr, or any time you want to load a full count. For stock that arrives on a purchase order or a seller shipment, receive it there instead.
Where
Inventory → Stock → Add inventory
The import has up to four steps: Upload, Columns, Review, Import. Columns only shows when Riverr needs you to confirm them.
1. Upload
Save your spreadsheet as a CSV file, then drop it on Drop a CSV here or click Choose file.
Any layout works. A template is there if you want one: Download template.
2. Columns (first time, or a new column)
Riverr picks a field for each column on its own. The Columns step opens when it is the first import of that layout, or when a column has no field yet.
- Check each column. Fix any that look wrong, or choose Ignore.
- Map Quantity, plus one way to find the item: a barcode, a SKU, a product name, or style, color and size.
- Click Match file.
Riverr remembers your choices. The next time you import a file with the same columns, it skips this step and says We remembered these from your last import.
Columns Riverr understands:
| Field | Use it for |
|---|---|
| Quantity | The count. Required |
| SKU, Supplier SKU | Your SKU or the supplier's |
| Barcode (UPC or GTIN) | A UPC, GTIN, or EAN |
| Style, Color, Size | Blanks, for example Gildan 5000, Black, XL |
| Product, Options | Finished goods by name and size or color |
| Owner | The seller who owns the row, for stock you hold for sellers |
| Location | Shops with more than one location: where the row is counted |
| Bin | The bin the units sit in |
| Price | The price for a finished good created from the file |
You do not need a cost column. Each item's cost comes from its blank or finished good, so a cost column in your file is ignored.
3. Review
Riverr tries each row in this order and stops at the first single match:
- A match you confirmed in an earlier import
- The barcode
- The SKU, yours or the supplier's
- Style, color and size. Short color names like Blk, Nvy, or Hthr are understood. The style can also sit inside the item name when the file has its own color and size columns, for example AS Colour 5001 Staple Tee with Black and M matches style 5001 in Black, size M
- One text field split into style, color and size, for example "G500 Black XL"
- The supplier catalog, for a blank you do not carry yet
- A finished good by product name and options
- A suggestion from the closest few items. Riverr never invents an item
Rows land in three lists:
| List | What is in it | What you do |
|---|---|---|
| Matched | Rows that matched one item exactly (steps 1 to 4, or 7) | Already accepted. Accept all, Show rows, or Skip a row |
| Check these | Split text, supplier catalog blanks, suggestions, more than one possible item, or a location or bin Riverr could not find | Pick the right item, Add to my catalog for a supplier blank, Find a match, Create product, or Skip. Accept every suggestion takes them all |
| Not found | Nothing in your catalog or the supplier catalog fits | Find a match, Create product, or Skip. Create all as products or Skip all for the whole list |
Each row says how it matched, for example Matched by barcode or Suggested, please check, what your file said (In your file), any Location or Bin from the file, and the change, for example 12 → 30 on hand.
Rows you leave unanswered are skipped. The button tells you how many: Next, 3 still to check.
Add to my catalog adds the supplier's blank to your catalog and stocks it in the same step.
Find a match
When Riverr matched the wrong item, or could not match an item you do carry, pick it yourself.
- Click Find a match on the row. On a row in Matched, click Change.
- Search by name, style, SKU, or barcode. Results cover your blanks and finished goods. A supplier style you do not carry yet says Not in your catalog yet.
- Click the product, then pick the Color and Size. Riverr picks them for you when your file has them.
- Click Use this. The row now shows Your match: and the item.
A supplier style you pick is added to your catalog when you import. Riverr remembers your pick, so the next import matches that row on its own (Matched like last time).
Create product
For an item that is not in Riverr yet, click Create product on the row and answer What is it?
| Choice | Means | Then |
|---|---|---|
| Blank | You decorate it | Pick a supplier style to add a supplier's blank, or Make a custom blank for your own |
| Finished good | You sell it as it is | Create finished good |
The name, color, and size come from your file. Change them before you create. Rows with the same name become one product, with a variant for each color and size.
Create all as products asks Blank or Finished good once and creates every row in Not found that way. To use a supplier style for a blank, open that row instead.
New products start with no cost. Set the cost on the product after the import.
Location and bin columns
- Location: on shops with more than one location, each row is counted at its location. A name Riverr does not recognize sends the row to Check these. With no location column, pick Import into at the top of the review: Your file has no location column, so every row goes here.
- Bin: for an item tracked by bin, the units go straight into that bin. An item tracked by bin needs a bin on its row, or it waits in Check these. For an item not tracked by bin, the bin is recorded as where it sits.
4. Import
Choose how Riverr uses your numbers:
| Choice | What it does |
|---|---|
| This is my count | On hand becomes the number in your file |
| Add to what is there | The number in your file is added to what you already have |
Riverr selects This is my count for your first import and Add to what is there after that. Switch with one click. On a first import, adding warns that stock already in Riverr would be counted twice.
The summary lists what will change, including blanks added to your catalog and products created, and the total, for example On hand changes by +240 units in total. You can undo this import for 24 hours. Click Import.
Importing the same file twice with This is my count changes nothing the second time.
After the import
A message on the Stock page reports the result, for example Imported: 42 rows set, 3 finished goods created, 1 blank created, 2 skipped. 45 matches remembered for next time. Click Undo import in that message to reverse it.
Every confirmed match is remembered, so the next import of the same file matches fully on its own.
Undo an import
Inventory → Stock → Import history lists your last 20 imports with the file name, the time, and Set as my count or Added to what was there.
Click Undo import within 24 hours. It puts back exactly what that import changed. A row whose stock has moved since (for example, a batch already used some of it) is left as it is, and the message tells you how many rows could not be undone. After 24 hours the row reads Undo no longer available.
Undo changes the counts only. Products and catalog blanks the import created stay in your catalog.
More than one location
With stock by location, the import counts at the location in each row, at Import into, or at the location you are on. On the totals view, blank rows are refused with Pick a warehouse to edit stock.
