Draft Product & Customizable Order Flow

> How to process personalized orders from listing setup to production
Use this workflow when your product requires per-order personalization such as:
- Custom names
- Unique text variations
- Customer-uploaded artwork
- Designs created after checkout
Unlike standard Print On Demand products, Customizable Products do not require a print file at the listing level. Artwork is uploaded per order.

How the Draft Workflow Works
High-level flow:
- Listing is synced (one-time setup)
- Listing is marked as Customizable Product
- Order comes in as Draft
- You upload personalized artwork
- Order automatically moves to Active (Pre-Production)

Step 1: Sync the Listing (One-Time Setup)
Before a Draft order can move forward, the listing must be synced at least once.
If an order appears under Unsynced, open the order and click Sync Listing.
This connects the listing to a valid blank product and variant.
You only need to do this once per listing.

Important
If the listing has never been synced:
Order will show as Unsynced
You cannot proceed until it is mapped.
Once synced, the order lifecycle becomes:
Unsynced → Draft → Pre-Production

Step 2: Mark the Listing as Customizable
Go to the Listing page.
You will see two options:
- Print On Demand
- Customizable Product
Select Customizable Product.

When Customizable Product is enabled:
- A print file is NOT required at the listing level
- The product can sync without artwork
- Artwork will be uploaded per order
You do not need to use Import / Refresh Listing unless you believe listing data is missing.
Save the listing.
That completes setup.

Step 3: Order Arrives as Draft
When a customer places an order for a Customizable Product:
The order will appear under Draft.

Inside the order you will see:
- Product details
- SKU (may show N/A initially)
- Add Personalized Images button
At this stage:
The blank product is mapped
But artwork has not yet been attached
The system is waiting on personalization.

Step 4: Upload Personalized Artwork
Open the Draft order.

Click:
Add Personalized Images
You will be taken to the upload screen where you can:
- Upload the customer’s print file
- Select placement (Front, Back, etc.)
- Confirm positioning
Click Save after uploading.

What Happens Next?
If:
- The listing is synced
- The product is marked Customizable
- All required personalized images are uploaded
The order will automatically move from:
Draft → Pre-Production
No manual status change is required.

Multi-Item Orders
If an order contains multiple items:
Each item must:
- Be synced (if first-time listing)
- Have personalized artwork uploaded
If even one item is missing artwork, the entire order remains in Draft.

Why is my order stuck in Draft?
Draft means the system is waiting on personalized artwork.
Most common reasons:
- Personalized image not uploaded
- Placement not selected
- File uploaded but not saved
- One item in a multi-item order is missing artwork

Does the listing need to be synced first?
Yes.
If the listing has never been synced, the order will show as Unsynced, not Draft.
Syncing only needs to happen once per listing.

Do I need to sync the listing for every order?
No.
Listings only need to be synced one time.
After that, only artwork must be uploaded for each order.

What is the difference between Unsynced and Draft?
Unsynced
The listing has not been mapped to a blank product yet.
Draft
The listing is mapped, but artwork has not been uploaded for this specific order.

Why is SKU showing N/A?
SKU may show as N/A when:
- Mapping is incomplete
- Personalized artwork has not been uploaded
- Variant setup is not finalized
Once everything is saved properly, SKU will populate.

When does a Draft order become Active?
When:
- All listings are synced
- All personalized images are uploaded
- Placements are saved
The system automatically moves the order to Pre-Production.

Can I edit the personalized image after saving?
Yes, as long as the order has not entered production.
Open the order → Edit Item → Replace image → Save.
If production has started, the item must be unbatched before editing.

When should I use Customizable Product?
Use it when:
- Each order has unique artwork
- Customers personalize names or text
- Artwork is uploaded after checkout
Do not use it for fixed, repeatable print designs.
